A job description is an internal organizational document defining job requirements, duties, responsibilities, and skills required to perform a particular role (DeCenzo et al., 2016). A job description accomplishes several important functions within an organization including; providing a description of the requisite skills and competencies for a certain role; describing where the job fits within the overall hierarchy of the organization; being a basis for employment contracts; and used in performance appraisal (Slezak, 2012). A job description also plays an important role in the overall hiring process as it informs candidates of the specifics of the role for which they are applying for. A job description is developed following an in-depth analysis of the job and a comprehensive description of what it entails to perform optimally.

It is important to take time to develop a job description because it helps the management of an organization to articulate the most important outcomes expected from an employee on a particular job (Heathfield, 2020) As an important document used in the overall hiring process, job descriptions help organizations find the right fit for vacant positions in the company. This is because they define the parameters of the available positions and this acts as a sieve for those intending to join the organization.

Preparing job descriptions is also important as they help in planning and implementing training (Stewart & Brown, 2019). This is because job descriptions allow human resources managers to identify key skills needed by employees which enable them to cover specific topics during employee training. A job description also promotes greater productivity for the company as it communicates the specific demands of a role to the employees (DeCenzo et al., 2016). When employees are aware of these specific demands, there is the likelihood that their productivity will be higher.
